Qualtrics Integration with SAP SuccessFactors: State of the Union

The Union between SAP and Qualtrics is now 8 months old, so where does it stand from a SuccessFactors Integration point of view? And what can we do to combine Qualtrics with SuccessFactors data and events.

In a nutshell: even now, it’s early days, but there is a credible and comprehensive plan for integrations in place starting 2020. This leaves short and midterm solutions to be deployed by SAP Qualtrics Partners, such as Adessa Group.

A roadmap is now available and as always, this roadmap is subject to change at any time. So, there are no guarantees (nor timelines), but it’s a good indication of the direction of such integration.

Let’s take a quick look at SuccessFactors Qualtrics integration roadmap for out of the box standard integrations provided by SAP:

For the Year 2020

The focus for 2020 seems pretty much on “Event Triggered Surveys”, or “life cycle surveys” in Qualtrics lingo.
This is not surprising for two reasons:

  • It follows the marketing spin of “Moments that Matter” as well as customer demand, where Onboarding surveys or training feedback are high on the agenda, and
  • some of the event triggers are not as easy to implement with the tools already available as, for instance, master data integration. So, making them available per standard, adds more value to the customer.

The Event Triggered Surveys come in two flavours:

  • embedded in the SuccessFactors UI
  • triggering a normal survey in Qualtrics, presumably using intelligent services

The events triggering a survey can be almost anything, such as:

  • resignation
  • candidate interview
  • finishing a mentoring program
  • finishing a training
  • etc.

For the Year 2021 (on the roadmap as 12+ months from now)

The most important element is master data integration. The roadmap leaves some room for interpretation, but it seems the aim is not to distribute data, but to share a single set of employee data across several applications. An elegant solution, perfect for consistency that probably will come with its challenges.
Other integrations planned for that period are:

  • Advanced learning evaluation to collect training feedback, but also to monitor transfer success over time and to understand the impact on performance.
  • More UI integration by making solutions – including an “engagement card” – accessible directly from the SuccessFactors home page.

For the Year 2022 and beyond (on the roadmap as 24+ months from now)
There are a lot more integrations planned more than 2 years from now, many of them really innovative. For most users, SuccessFactors and Qualtrics will pretty much look like one piece.   Highlights include:

  • UI integration for line managers’ tasks including dashboards
  • option for line managers to run their own surveys for their own teams
  • integrate guided action planning with line managers’ to-dos in SuccessFactors
  • using conversational AI to collect feedback from Employees

So, what does this mean for customers ad interim?

The most important point is what seems to be a slow move of SAP towards master data integration, whilst the focus is on event triggers. It looks like more emphasis is given to Moments that Matter (as confirmed in the Keynotes at SuccessConnect Las Vegas), more than combining X-data (experience data) and O-data (operational HR data). And with the integration going via a set of shared data, it remains to be seen, whether that includes all data needed.

So, what to do in the short term?

The good news is that there are pragmatic solutions available already. Adessa Group is one of the few SAP, SuccessFactors and Qualtrics certified partners. Building on our expertise, we have already built data integrations based on SuccessFactors integration centre, distributing data from SAP SuccessFactors to Qualtrics allowing for much more interesting insights in Qualtrics Analytics and Dashboards. 

Customers should use these solutions for data and events integration, until the respective standard integrations become available. Implementation cost are pretty low and experience with the end2end process can be used to build on later, with SAP’s standard integration.

The trend is going away from the traditional annual employee survey to a much more agile approach with a variety of surveys sent to individuals or groups at various points in time. This makes a lot of business sense, but the current Qualtrics licensing model is probably a bit restrictive for this brave new world.

So, most data based Qualtrics-SuccessFactors integrations can be implemented very quickly today based on integration centre and templates like those offered by Adessa Group.  Over the next 2 years, these integrations can be replaced with standard integrations arriving from 2020 onwards.
